1. Editing a Pending Invoice
If an invoice is in Pending status, move it back to Draft before making changes.
Why this matters: Draft invoices are not visible to the customer. Moving the invoice to Draft prevents the customer from approving it while you are editing it.
Open the invoice you need to change.
Move the invoice from Pending to Draft.
Click Edit in the top-right corner.
Make the necessary changes.
Click Update Invoice to save your changes.
Update the Invoice PDF
If you changed labor, materials, travel, miscellaneous charges, or other billing details, replace the invoice PDF so it matches the updated charges.
You can either:
Use OpenWrench to generate an updated invoice PDF.
Upload a revised PDF from your own system.
Once the correct PDF is attached, click Publish Invoice. The invoice returns to Pending status for customer review.
Review the Revisions
After publishing, you can review the changes on the invoice. Changed information appears with the previous values crossed out, and revision history is available at the top of the invoice.
The customer can also see these revisions.
2. Editing a Disputed Invoice
When a customer disputes an invoice, you receive a notification explaining the reason. For example, the customer may ask you to correct the hourly labor rate.
You do not need to move a disputed invoice to Draft before editing it.
Open the disputed invoice.
Review the customer’s dispute reason.
Click Edit in the top-right corner.
Make the requested corrections.
Click Update Invoice.
If you changed any billing details, generate an updated invoice PDF or upload a revised PDF that matches the changes.
Click Publish Invoice to resubmit it for customer review.
3. Replacing an Incorrect PDF Attachment
If all invoice charges are correct but the wrong PDF is attached, you can replace the attachment without editing the charges.
Open the pending invoice.
Click the trash can icon next to the incorrect PDF attachment.
Deleting the attachment automatically moves the invoice back to Draft.
Upload the correct PDF.
Click Publish Invoice.
The invoice returns to Pending status. You can review its revision history at the top of the invoice.
Before Publishing
Confirm that:
The invoice details and charges are correct.
The correct PDF is attached.
The PDF matches the charges entered in OpenWrench.
Saving your changes with Update Invoice does not publish the invoice. Click Publish Invoice when it is ready for customer review.
