Notifications in OpenWrench are set up at the location level. This allows you to choose who should receive notifications for work orders at each specific location, including:
New work order creation
Work order updates
Notes and communication
Other activity related to the work order
Step 1: Open the Location
From the OpenWrench web portal:
Click Locations from the navigation menu.
Find and open the location where you would like to set up notifications.
Note: Notification contacts are managed separately for each location.
Step 2: Edit the Location
In the upper-right corner of the Location page, click Edit.
If you do not see the Edit button, you may not have the appropriate permissions to make changes to the location.
Step 3: Find the Contact Settings
Scroll about halfway down the Edit Location page until you see:
Primary Contact
Facilities Contact
These fields determine which users receive work order notifications for that location.
Step 4: Add Your Notification Contacts
You can add multiple users to either contact field.
Primary Contact
The Primary Contact is typically someone at the store or location who should stay informed about work orders.
Examples may include:
General Manager
Store Manager
Location Manager
Other on-site contacts
Facilities Contact
The Facilities Contact is typically someone responsible for overseeing or managing facility-related work.
Examples may include:
Facilities Manager
Internal Facilities Team member
Regional Manager
Someone responsible for work order or quote approvals
You can add more than one person to either field if multiple users need to receive notifications.
Step 5: Save Your Changes
Once you have added the appropriate contacts, scroll down and click Update Location.
That's it! Your notification settings are now updated.
When Do the New Notifications Start?
The changes take effect immediately.
The users you added will begin receiving applicable notifications for:
Work orders that are already in progress
New work orders created going forward
Quick Tip
If different people are responsible for different locations, repeat these steps for each location to make sure the correct team members are receiving work order notifications.
