You may notice that the Suppliers page in OpenWrench is now called Service Providers. This update allows you to distinguish between three different types of service providers:
Suppliers
Internal Teams
Landlords
To get started, go to the Service Providers page and click Add. You can then choose the type of service provider you would like to create.
Adding a Supplier
Adding a supplier works very similarly to how it has in the past, with the added option to include a phone number.
Enter the supplier's:
Name/Company Name
Email Address
Contact First and Last Name
Phone Number, if available
Click Continue, then select the services/problem types the supplier provides and the locations where they should provide those services.
Adding an Internal Team
Internal Teams are employees or in-house maintenance teams that perform work at your locations.
Internal Teams have additional capabilities within OpenWrench. For example, they can:
Receive routed work orders
Check in and out of work orders
Manage parts and inventory
Click Add Internal Team and enter:
Internal Team Name
Email Address
Contact Person
Phone Number, if desired
On the next screen, select the services/problem types the Internal Team handles and the locations where they should be assigned.
Adding a Landlord
You can also add a Landlord as a Service Provider.
When creating the Landlord, enter the Landlord Name and select the appropriate problem types and locations that should route to them.
Landlords will typically be set up as Self-Managed because most landlords will not need to register for OpenWrench, accept work orders, or check in and out.
If you would like the landlord to have access to OpenWrench, you can click Invite and enter their email address and contact information.
Sending Work Orders to a Landlord Without an OpenWrench Login
A landlord does not need an OpenWrench account to receive work order information.
Open the Service Provider and go to Provider Contact Details. Here, you can enter:
Phone Number
Email Address for Work Order Notifications
Email Address for Proposal Notifications
Supplier Code, if applicable
Once this information is saved, OpenWrench can automatically send work order information and notifications to the landlord's email address.
The landlord can simply reply directly to the OpenWrench email notification, and their response will automatically be captured in the Notes section of the work order.
They will also receive applicable work order note notifications, allowing communication to remain connected to the work order without requiring the landlord to log in to OpenWrench.
If you have additional contacts for the landlord, you can also add them to the Supplier Contact Directory.
