OpenWrench Notes: Your Central Communication Hub

The Notes section is your centralized hub for all communication related to a work order. Instead of scattered emails, texts, or phone calls — everything lives directly inside the work order.

Use Notes to:

Keeping everything in one place ensures visibility, accountability, and faster resolution.


🔔 Notify the Right People

You control who gets notified.

Subscriber List

Click the Subscriber List to:

  • Add subscribers who should receive updates

  • Remove subscribers who no longer need notifications

This keeps communication intentional and relevant.


@Tag Specific Users

Tag a user in a note by typing:

@username

When you tag someone:

  • Only the tagged person receives an email notification

  • The note remains visible to all subscribers

This is extremely helpful for:

  • Reducing email noise

  • Requesting action from one specific person

  • Escalating without over-notifying


📌 Best Practices for Using Notes

✔ Keep all updates within Notes

✔ Avoid relying on emails or texts for work order communication

✔ Attach photos and videos directly to provide clarity

✔ Use tagging thoughtfully to keep notifications focused

Centralized communication prevents confusion and keeps everyone aligned.


👀 Last Note Visibility (No More Clicking Into Every Work Order)

The most recent note left on a work order is displayed directly on the main Work Orders page.

This means:

  • You can see the latest update instantly

  • You don’t have to open every work order to stay informed

  • You can quickly identify which items need attention


🚨 Notes Awaiting Your Response

If a note requires your response, it will be highlighted on the main Work Orders page.

This ensures:

  • Nothing slips through the cracks

  • Action items are clearly visible

  • Accountability is built into the workflow


📧 Email Integration (Time-Saving Feature)

You can respond directly to OpenWrench email notifications.

Simply reply to the email, and:

  • Your response is automatically captured in the Notes section of the work order

  • No need to log in to respond

This keeps communication centralized while saving time.


👁 Read Receipts

Want to see who viewed your note?

Click the eye icon next to the note.

You’ll be able to see:

  • Who read the note

  • When it was viewed

This provides visibility and accountability without needing to follow up separately.
