How to Track Work Orders & Use Labels

In this tutorial, you'll learn how to track work orders and use the Labels feature in OpenWrench.

Tracking Work Orders

One of the newest features in OpenWrench is the ability to track work orders. You can identify this feature by the yellow star located to the left of each work order title.

How to Track a Work Order

  1. Locate the work order you want to track.

  2. Click the star icon left of the work order title.

  3. The star will turn yellow, indicating that the work order is now being tracked.

Adding a Personal Tracking Note

When you track a work order, you also have the option to add a note.

Important: Tracking notes are private. They are only visible to the user who created them.

For example, if you track a work order and add a note, only you can see that note. Other users cannot view it, and you cannot view their tracking notes either.

Once a work order is being tracked:

  • The yellow star will remain next to the title.

  • Your follow-up note will be highlighted in yellow for easy reference.

Viewing Tracked Work Orders

You can quickly filter your work orders to display only the ones you're currently tracking by selecting the tracking filter.

Stop Tracking a Work Order

To stop tracking a work order:

  1. Click the yellow star.

  2. Select Untrack.

  3. The work order will no longer be tracked, and the yellow star will be removed.


Using Labels

Labels provide another way to organize work orders. Unlike tracking, labels are designed for team organization and collaboration.

Creating Labels

Before assigning labels, you'll first need to create them.

  1. Click Add Label.

  2. Enter the name of your new label.

  3. Repeat this process to create as many labels as needed.

  4. Click Save when you're finished.

Assigning Labels to Work Orders

To add a label:

  1. Hover next to the work order title.

  2. Click the Label icon when it appears.

  3. Select the label or labels you want to assign.

A work order can have multiple labels, and the selected labels will appear next to the work order title.

Label Visibility

Unlike tracking notes, labels are visible to everyone who has access to the work order. This allows teams to organize and categorize work consistently across the organization.

Managing Label Permissions

Administrators can control who is allowed to create, edit, or apply labels.

To manage these permissions:

  1. Go to the Admin page.

  2. Navigate to Access Controls.

  3. Under the appropriate permissions, choose which user roles can:

    • Create or edit labels.

    • Apply labels to work orders.

You can restrict these permissions to administrators or allow additional user roles based on your organization's needs.

Deleting a Label

If a label is no longer needed:

  1. Click the Labels icon.

  2. Select Edit (pencil icon)

  3. Click Delete next to the label you want to remove.

Deleting a label removes it from your label list and automatically removes it from every work order where it has been applied.
